Hard for me to troubleshoot much after-the-fact… however, were you sharing an app or your desktop? It should be recording the same thing everyone in the meeting is looking at. I am trying to set up a town hall type of meeting, there will be 8 people on the talking all in the same domain , and they want the public to be able to listen to the meeting but not interact in anyway.
We are concerned about security as this will be a public meeting, and we have no way of legitimizing anyone who enters the lobby. With Skype for business we were able to create a meeting and then lock down who could present and everyone else would be audio only.
Has this all moved to the Teams Admin site? If so… is this something Microsoft is planning on having the admins have to configure for each client any time they want to have a meeting with limitations? Hi Morgan, this sounds like a great use-case for a Teams live event.
You can certainly configure default options at the Admin level for events like this, but once a user has been granted the ability to create a Teams Live event, they can set it up themselves from within the Teams client. Typically a public-facing town-hall style meeting like this has some oversight from IT or Communications to help with the delivery.

Hi Lily, this is very difficult to troubleshoot at a distance and after-the-fact. I think I know what happened… the person scheduling the meeting likely did so from a Group chat automatically includes everyone in the Group chat on the meeting invitation.
If the meeting is started, whether or not you actually join the meeting, the chat window says you joined it. We were going to move from Webex to Teams, but the limitation of sharing windows has put us off of this. You should be able to toggle through the windows.
If you do this, everyone will see your desktop and you can flip between any apps you want without stopping the share. Hope this helps. Pat — you can.

However, for security and privacy reasons at UCT, we recommend that you only create private teams. Private teams are only accessible to those who are team members.
In this case, only those invited to the private channel can view its contents. If a team owner is not part of the private channel, they can only see the channel name and not its contents. Remember though, you currently cannot schedule meetings in a private channel. You can now set up a calendar per channel, making it easier to manage events. This option is not available for guests, so you will to invite them directly. External people cannot view any content in a channel unless they are members of that team or channel.
Within that team site, channels can then be created for the various internal divisions — such as Maintenance, Traffic, Security, Access Control, etc. One general team; multiple sub-team sites which then include their own internal channels. Such information could include news on projects, upcoming events, and other news.
Further, each division can then create its own team. For example, a Traffic team to cover all traffic-related staff, and a Maintenance team to cover all maintenance staff. These teams can then create different channels to cover sub-sections: for example, within the Maintenance team, there could be Upper Campus maintenance; Middle Campus maintenance; and Hiddingh Campus maintenance.
However, if you discuss sensitive and confidential information, then make the channel private — limiting access to those who should be privy to this information. You just won’t be able to schedule meetings in a private channel as this functionality is not available as yet.
If you are able to have a face-to-face meeting, then you can just schedule the meeting as normal via Outlook. However, if face-to-face is not possible, then you can still set up a meeting either via Outlook or directly in Microsoft Teams — without having to create a dedicated team or channel. Each meeting has its own chat functionality, shared files, recording if the meeting was recorded , meeting notes, etc. Only those who were invited to the meeting would be able to access this information.
If the meeting was scheduled via Outlook or via the calendar in Teams, they can still access the meeting chat but not recordings. Yes, it is. You can create a team and only invite meeting participants. You can store all documentation related to the meeting in the files section and collaboratively work on documentation during and after meetings. The chat functionality also allows you to discuss matters during and after the meeting, as well as share links to additional resources.
If they are not a member, you will need to share the file via another platform. Microsoft has changed the way that Teams meeting recordings are saved. Standard meeting recordings are now saved on OneDrive for Business while channel meeting recordings are saved on SharePoint. Meeting recordings that are saved on Microsoft Stream are not impacted and can continue to be accessed after the change. Standard meetings are scheduled and ad-hoc meetings that are set up via Outlook or theTeams calendar using the Meet now or New meeting features.
The individual who clicks the Start recording button in a meeting automatically becomes the recording owner and has full rights. For this reason, we recommend that the meeting organiser starts the recording, as this will make it easier to manage afterwards. If one of the meeting attendees starts the recording, they have full rights while the meeting organiser only has editing and sharing rights.
It is accessible on the top folder level. Follow these instructions to download and install OneDrive for Business. All other attendees have view access only. The software has to know, since it constantly brings forward the speaker. I just have to keep reeling in certain privileges depending upon the age group. I know you can search in there, not sure if you can export it, never tried. Does that help? I know I need to share the audio when I do screen share. I have looked on line for the answer; this is the only way that I am able to share a PPP and have control of the video at the same tiem. I did a trial run with 2 other laptops. I shared my desktop to veiw the PPP one laptop had a very crisp view of the PP the other laptop view was very blurry. Any idea why and how to fix? The invite says presenter. I am an external invitee. However, I only connect as an attendee. I can see them but they cannot see or hear me.

For instance, I want to hold a sales meeting with both internal and external attendees. Some of the external attendees will give a 5 or 10 minute presentation that might include a PPT or other documents… will they be able to act as a presenter to share these documents to the group? Or will I need to share those documents on my end as the organizer as they speak to the group?

Is there a way to do this without me creating and adding the participants every time? Hi, I was invited to a Microsoft Teams video call which I joined as an external participant. Call ended after 15 minutes and I proceeded to make a WhatsApp call.
Once I ended this call I noticed a call screen that had Microsoft Teams Audio call on it not seen it before and it looked as though I was dialled into a call about the same length of time had passed since my Microsoft Teams call started. I pressed the end call button and then the screen disappeared. Is this just a blip. Could any WhatsApp audio be heard on the Teams call that seemed to still be running?
I suggest putting this question on the Microsoft Tech community in the Teams group, there is a wide audience there and someone may be able to assist you. I had forgotten to leave a Microsoft team meeting with one other person. It was a video meeting and I attended by clicking a link in outlook from my calendar which states join Microsoft teams meeting. I have added participant to the ongoing call from our team and he started recording our call, I removed him after I got clarifications from the participant. I have continued the same call with others on different points but later realized call is getting recorded and full recording was shared in the group after the call is over.
Now the question — Is this full recording available to the participants joined and dropped in between the call, Or only part of it is available for them for the time they are in the call.

Students become confused because in their calendar the meeting shows 2 ways to enter. One is the link to the Zoom meeting and the other is in the upper right hand corner that says “Join”. Clicking “Join” opens a Team meeting, but I want them to go to the Zoom meeting. Is there any way to schedule a Zoom meeting that will appear in their calendar, without prompting a Team meeting at the same time? I’m aware I can eventually “train” them to always choose the Zoom link, but being able to schedule an “event” that isn’t a Team video call would be neater.
